Terms and Conditions For Payments

These Terms and Conditions govern all payments made to KEEP Academy (“the Academy”, “we”, “our”, “us”). By enrolling and making payments through our website or directly to the Academy, you agree to the following:

1.1 Accepted Payment Methods

  • Payments may be made via:

    • Bank deposit or transfer (through accredited banks in the Philippines)

    • E-wallets (e.g., GCash, Maya, etc.)

    • Credit/Debit Cards (via secure payment gateways)

    • Over-the-counter at Branch locations

1.2 Payment Confirmation

  • A payment is considered valid only upon receipt of proof of payment and confirmation from the Academy.

  • Official receipts will be issued in compliance with the Bureau of Internal Revenue (BIR) regulations.

1.3 Payment Deadlines

  • Tuition fees, program fees, and other charges must be paid on or before the stated deadline.

  • Late payments may be subject to penalties or suspension of access to classes/programs until settled.

1.4 Installment Plans

  • The Academy may, at its discretion, allow payment through installment schemes.

  • Failure to comply with installment schedules may result in the forfeiture of access to the program without refund.

1.5 Currency

  • All payments are to be made in Philippine Peso (PHP) unless otherwise stated.

1.6 Security of Payment Information

  • The Academy uses secure and accredited payment gateways.

  • We do not store your complete payment card details in compliance with Data Privacy Act of 2012 (RA 10173)and applicable financial regulations.

We value your trust and are committed to transparency regarding refunds. By enrolling in our programs, you acknowledge the following refund terms

2.1 Eligibility for Refunds

Refunds will only be granted under the following conditions:

  • Withdrawal within 3 days before the start of classes/programs – 100% refund (less processing fees).

  • Withdrawal within the first week of classes – 50% refund.

  • Withdrawal after the first week of classes – strictly no refund.

2.2 Non-Refundable Fees

  • Registration fees, assessment fees, uniform, school supplies and other administrative charges are non-refundable.

  • Fees paid to third-party payment providers (e.g., bank charges, transaction fees) are non-refundable.

2.3 Refund Process

  • All refund requests must be submitted in writing via email to keepacademyhq@gmail.com

  • Processing time: 10–15 business days upon approval.

  • Refunds will be released via the same payment method used, unless otherwise agreed.

2.4 Program Cancellation by the Academy

  • In the unlikely event that a class/program is canceled by the Academy, students will be entitled to either:

    • A full refund of paid fees, or

    • A credit transfer to another program of their choice.

KEEP Academy respects your privacy and is committed to protecting your personal information in compliance with the Data Privacy Act of 2012 (RA 10173).

3.1 Information We Collect

We may collect the following information from students, parents, and website visitors:

  • Full name, age, gender, and contact details

  • Billing and payment information

  • Academic background or student performance data

  • Browsing information when accessing our website

3.2 How We Use Your Information

  • To process enrollments and payments

  • To communicate important updates regarding classes and services

  • To improve our educational programs and customer experience

  • To comply with legal and regulatory obligations

3.3 Sharing of Information

We do not sell or rent your personal data. However, we may share it with:

  • Authorized staff and educators of the Academy

  • Accredited payment processors and service providers

  • Government agencies, when required by law

3.4 Data Protection

  • We implement physical, electronic, and organizational measures to safeguard your personal data.

  • Only authorized personnel have access to sensitive information.

3.5 Data Retention

  • Student and payment records will be retained for as long as necessary to comply with BIR, DepEd/CHED (if applicable), and other regulatory requirements.

You have the right to:

  • Access your personal data

  • Request correction of inaccuracies

  • Withdraw consent (subject to legal and contractual limitations)

  • File a complaint with the National Privacy Commission (NPC) if you believe your data privacy rights have been violated
